AUSW Recording & Picture Release Policy

1. Purpose

Arts Unlimited Southwest (“AUSW”) values and documents the artistic experiences, performances, classes, and events we offer. We may capture photographs, audio recordings, and video recordings (“Media”) for promotional, educational, archival, and fundraising purposes.

This Recording & Picture Release Policy outlines how Media may be used and secures consent from participants, parents/guardians, and guests to use such Media in the ways described below.

2. Scope

This policy applies to:

  • Participants in AUSW programs, camps, classes, performances, and events
  • Parents/guardians of minors participating in AUSW activities
  • Volunteers, staff, and guests present at AUSW events

3. Release Authorization

By registering for or participating in any AUSW program, event, class, performance, or activity — whether free or paid — the participant (or the parent/guardian if the participant is a minor) hereby grants Arts Unlimited Southwest and its representatives the absolute and irrevocable right and permission to:

Record and Photograph:

Capture images, audio, and video of the participant.

Use and Publish Media:

Use, reproduce, distribute, display, publish, and broadcast the Media in any and all media formats now known or later developed, including but not limited to AUSW’s website, social media, promotional materials, newsletters, electronic communications, brochures, posters, and other marketing or educational outreach.

Edit and Modify Media:

Edit, crop, and otherwise modify the Media without notification or approval.

Waive Compensation:

Participate and acknowledge that no compensation will be provided for the use of the Media.

4. Rights and Permissions

By granting this release:

The participant (or parent/guardian) waives any right to inspect or approve finished Media and its use.

The participant (or parent/guardian) releases AUSW and its affiliates from any claims, demands, or liability arising from the use of the Media.

AUSW retains the right to share the Media with partners, sponsors, publications, and online platforms, provided the use aligns with AUSW’s mission and purpose.

5. Use of Names and Biographical Information

Photos, videos, or recordings may be accompanied by:

  • First names
  • Artistic achievements
  • Program participation details
  • Full names or personal contact information will not be published without additional explicit consent.

6. Duration of Authorization

This release remains in effect indefinitely unless revoked in writing. To revoke consent, the participant (or parent/guardian) must submit a written request.

Revocation of permission applies only to future use and does not require AUSW to remove or discontinue previously published Media.

7. Minors

For minors under 18 years of age:

A parent or legal guardian must sign this release.

By signing, the parent/guardian agrees to all terms of this policy on behalf of the minor.

8. No Unlawful Use

AUSW agrees that Media use will respect the dignity and rights of participants and will not be used in a defamatory, libelous, or otherwise unlawful manner.

9. Acknowledgment

By signing in, you acknowledge that you have read, understand, and agree to the terms of this Recording & Picture Release Policy.
